JOB DESCRIPTION

Post title: Programme Assistant
Duty Station: UNFPA Country Office

1. Summary of Principle Functions:
Under the supervision and overall guidance of the Assistant Representative and the Representative, the incumbent assists in operational and administrative services for the implementation of activities in the field of Programme, which includes south-south cooperation.

2. Major duties and responsibilities:
­ Assists in the preparation of project progress reports by collecting, recording, reviewing and maintaining a wide range of information.
­ Verifies work-plans and status of financial resources.
­ Maintains current data in Atlas on the status of projects at the formulation, design, implementation and evaluation stages.
­ Assists in preparation of project budgets, their revision and processing for approval.
­ Revises budget and monitoring tables.
­ Reviews terms of reference for completion, assists in data collection, records checking, and contacts consulting services;
­ Give support and facilitate technical missions.
­ Supports the organization of evaluation and any other project related activities.
­ Maintains records and files updated and disseminates common conclusions and lessons which may be used to improve future operations.
­ Assists in preparation of accurate periodical reports;
­ Drafts correspondence related to the projects in Portuguese and English as required.
­ Drafts simple summary reports and meeting notes in any of the above languages

3. Qualifications required for performing the assigned work:

Minimum qualifications and experience:
- Three years of progressively responsible clerical and secretarial work, of which at least one year of experience related to travel arrangements and logistics in general.
- Fluency in Portuguese and English. Knowledge of Spanish desirable.
- Demonstrated ability to work in a multi-cultural environment and establish harmonious and effective working relationships with people of different cultural backgrounds, both within and outside the organization. Strives to build and support a diverse team and takes full advantage of the perspectives brought by people, regardless of gender, culture, religion, race, nationality or age.
- Completion of secondary education. University degree an asset. Thorough knowledge of modern offices procedures; ability to operate word-processing, web based management systems and other automated office equipment and contemporary software.

Other desirable skills:
- Professional experience with an operational UN Agency or NGO;
- Strong service orientation.
